Settings Reference

Email Cleaner has one set of cleaning rules that always run, plus four optional behaviors you turn on per portal. Change them in OpsAgent on the app's Settings page, or in HubSpot under the app's Settings tab; both edit the same settings. They decide how every clean treats an address, from the Email Cleaner card and from the Clean Email workflow action alike, and they are configured once for your portal, not per workflow or per record.

Always-On Cleaning

Regardless of your settings, every clean, from the card or the workflow action, always applies this base cleaning:

  • Trims leading and trailing whitespace
  • Converts the whole address to lowercase
  • Strips control and other invisible characters
  • Removes any whitespace inside the address
  • Validates that the result is a correctly formatted email

You do not configure any of this; it happens on every clean.

Optional Settings

Each of the following is an On/Off toggle. All four are off by default, so cleaning stays conservative until you opt in. When a toggle is on, its behavior is applied to every address cleaned for your portal, by the card or the workflow action.

Strip Plus Addressing Removes a +tag alias from the part before the @, so user+promo@example.com becomes user@example.com. Useful when you want the base address rather than the tagged variant. On/Off toggle Off
Fix Common Typos Corrects well-known domain misspellings from a curated, high-confidence list, for example gmial.com becomes gmail.com. Only unambiguous typos are corrected; the list is intentionally limited so a domain the customer actually intended is never changed. On/Off toggle Off
Normalize Domain Maps provider aliases to their canonical domain (for example googlemail.com becomes gmail.com) and removes a trailing dot from the domain. Helps two addresses that reach the same inbox compare equal. On/Off toggle Off
Flag Disposable & Role-Based Sets the Is Disposable and Is Role-Based flags so your workflow can branch on them, and shows them on the card. Disposable domains (such as mailinator.com) and role-based mailboxes (such as info@, support@, no-reply@) are matched against curated lists. This setting only sets flags; it never changes the email address. On/Off toggle Off

Notes

  • Disposable and role-based detection use curated lists that cover the common cases. They are not exhaustive, because disposable providers change constantly and role names vary, so treat the flags as strong signals rather than a guarantee.
  • Fixing typos and normalizing domains change the cleaned address. Flagging disposable and role-based addresses does not.
  • Settings changes apply to your portal only and do not affect other portals that have the app installed.
