Format Phone Card

Last updated 9 hours ago

The Format Phone card lets your team format and validate a phone number directly from a record in HubSpot, and save the result to the phone property you choose. It needs no workflow, so it works on every HubSpot plan, including Free. In the record sidebar it appears under the name Phone Number Formatter.

Where It Appears

The card can be added to the record sidebar on:

  • Contacts, companies, deals, tickets, orders, courses and projects: on every HubSpot plan, including Free
  • Appointments, listings, services and invoices: where your HubSpot account has them; some must first be turned on in HubSpot's object library
  • Custom objects: on accounts that have custom objects

Add it to a record layout by customizing the record view in your HubSpot settings. The "Add Card to Contact View" onboarding step in OpsAgent links straight to the contact record customization page.

How It Works

  1. Choose the number to format. The Number to format dropdown lists the record's phone properties: HubSpot's own phone number fields, plus editable text properties with the whole word phone, mobile, telephone, cell, fax, tel or handy (or a word starting with Telefon) in their name or label. Properties that are about a phone rather than holding one are left out: links, extensions, and notes, call, time, consent, model, version, status or type fields, for example. The card starts on the first phone property that has a value on the record, and shows that value under the dropdown.
  2. Choose the country. The Country dropdown lists every country and territory and starts on your Default Country. It is used only when the number has no country code of its own: a number that starts with + is always read with its own code.
  3. Choose the format. Pick International (+44 20 7946 0958, the default), National (020 7946 0958) or E.164 (+442079460958).
  4. Click Format number. The card reads the number from the record again, so it always formats the current value, and checks it with exactly the same rules as the Format Phone Number workflow action.
  5. Choose where to save it. Keep Same property to replace the original, or pick another phone property on the record to keep the original untouched.
  6. Click Save.

Nothing changes on the record until you save. Changing the property, country or format clears the result, so you never save a result that no longer matches your choices.

What the Card Shows

After formatting:

  • The formatted number, with the original underneath ("was ..."). If the number is already in the format you chose, the card says Already formatted.
  • Valid or Invalid: whether the number is one its country actually issues, checked against that country's real numbering plan rather than its length alone
  • The country: the two-letter code of the country the number belongs to, for example GB or DE
  • The reason, when the number is invalid, for example "That number is too short for its country". An invalid number cannot be saved.
  • The format that was applied

The Save option appears only for a valid number, and only when saving would change something. If the number is already formatted and the record has other phone properties, you can copy it to one of them instead.

After you save, the card shows Saved to and the property's name, and the record page updates to show the new value. If someone edits the number on the record after you formatted it, the card asks you to click Format number again rather than overwriting the newer value.

If the record type has no phone properties at all, the card says so. Create a phone property in HubSpot to use the card there.

Permissions

When you install the app you are asked to allow:

  • Reading contacts: required for the card
  • Reading companies, deals, tickets, orders, projects, appointments, courses, listings, services, invoices and custom objects: optional and pre-selected
  • Editing records: optional and pre-selected; needed only to save from the card

If you declined access to an object, the card on that object says so; grant it with Reinstall App on the app's Configuration page in OpsAgent. If you declined editing, the card still formats and validates the number and shows the result so you can copy it. To save from the card, click Grant edit access: OpsAgent opens the Reinstall dialog for your portal. Tick Save Formatted Phone, click Update Permissions, and approve edit access on HubSpot's screen. You do not need to reload the record afterwards: the next time you click Format number, the card offers Save.

Usage

Each click of Format number counts as one run, the same as one workflow execution. Saving the result is not counted. Phone Number Formatter is free to install and use, but like every OpsAgent app it pauses if your organization's usage limit is reached or a payment has failed: the card then says why and links to billing. Saving a number you have already formatted is never blocked.

Tips

  • Set your Default Country first. The Country dropdown starts on it, so most numbers on your records need no change before you click Format number.
  • Keep the original. Saving to a separate phone property lets you review the formatted number before replacing anything.
  • Use E.164 for calling and SMS tools. Most telephony and texting integrations expect E.164. International and National are easier for people to read.
  • Use the workflow action for bulk formatting. The card formats one record at a time. To format every record automatically, use the Format Phone Number workflow action on a plan that includes workflows.
  • Use Open in OpsAgent at the bottom of the card to reach the app's settings page in OpsAgent.
